The IRS Filing Information Returns Electronically (FIRE) System is undergoing year end maintenance. The date they expect to begin processing forms is January 17. We accept electronically filed forms year-round and will process them with the IRS as soon as they make the FIRS System available. As a best practice, we encourage our clients to use our Scheduled E-File tool to schedule e-filing to occur close to or on the appropriate deadline date for 2017 tax year forms. Collect your vendors’ W9s online. They update the form and sign electronically. Any changes will apply to their vendor record automatically.
We will store the W-9 as a pdf on your vendor’s record so you have easy access to the documentation should you need it in the future. Once you’ve gathered the W-9 information, use our TIN Match service to compare the information provided to the IRS database.
It is the same form. Ours is available to be completed online with an electronic signature. That enables your vendor to complete the information as long as they have access to a computer, tablet, or phone, rather than needing a printer/scanner/fax machine or to come to your office in person.
You only need the name and email address of the vendor to request a W-9. If you have the address also, you can add that as well.
